1. Who we are and who this covers
Autonomous DMS is a software service operated by Autonomous Axis, a proprietorship registered in Madhya Pradesh, India ("we", "us", "our"). Registered office: Khaleshar Naka, Umaria, Madhya Pradesh 484661, India.
This policy explains how we handle personal data when you use our software and website. It applies both to you (the business that subscribes) and to the personal data your business stores in the system about its own customers.

2. Two kinds of data — and who is responsible
Your account data (your name, business name, mobile, email, city/state, billing details). For this, we act as the data fiduciary — we decide, with you, how it is handled.
Your customers' data that your business enters (customer names, mobiles, addresses, vehicle/chassis/engine numbers, insurance and service records). For this, YOU are the data fiduciary and we are only your data processor: we store and process it strictly on your instructions to run the service for you. You are responsible for having a lawful basis (such as your customer's consent) to collect and store it.
3. What we collect
Account details you give us when you sign up or request a demo (name, business name, mobile, email, city/state).
Business data you enter into the system (sales, stock, customers, service, insurance and RTO records). This is your data — you own it.
Basic technical logs (such as IP address, device/browser and activity timestamps) needed to run, secure and troubleshoot the service.
4. Why we use it (purpose) and our promise
We use data only to provide, secure, support and improve the service, to bill you, and to send you service messages (for example demo setup or reminders on WhatsApp or email).
We do not sell your data. We do not use your customers' data for our own marketing, and we do not use it to train AI models, without your explicit consent.
We process your customers' data only for the purposes you use the software for — never for our own separate purposes.
5. Data isolation
Each business's data is kept in its own isolated database schema. One customer cannot see another customer's data.
6. Who we share data with
We share data only with the service providers needed to run the product, and only as needed to deliver the service to you. These currently include: cloud hosting (Amazon Web Services, India region), WhatsApp/messaging providers for reminders and OTP, a payment gateway for billing, and Google Drive (your owner's account) for optional offsite backup.
Some of these providers may process limited data outside India. We do not transfer data to any country that the Government of India has restricted for this purpose.
We may also disclose data where the law, a court, or a lawful government request requires it.
7. How long we keep it, and deletion
We keep your data for as long as your account is active.
If you close your account, you can request an export first. We then delete or irreversibly anonymise your live data within 90 days, except where we are required by law to retain certain records (for example tax/GST records).
Backups are retained for disaster recovery for a limited period (up to 30 days) and are then overwritten in the normal backup cycle.
8. Your rights
You (and, for their own data, the individuals whose data is stored) have the right to: access a summary of the personal data we hold, ask us to correct or update it, ask us to erase it, and raise a grievance.
You may also nominate another person to exercise these rights on your behalf if you die or become incapacitated.
To exercise any of these, contact our Grievance Officer (below). Because we are only the processor for your customers' data, a request about a customer's data is normally handled through the dealer whose account holds it.
9. Security
We use access controls, encryption of data in transit, per-tenant database isolation, and regular backups. No system is perfectly secure, but we take reasonable technical and organisational measures to protect data.
10. If something goes wrong (data breach)
If we become aware of a personal-data breach that affects your data, we will notify you without undue delay and, where required, notify the Data Protection Board of India, and will help you meet your own notification duties to your customers.
11. Children's data
The service is meant for businesses and their staff, not for children. We do not knowingly collect the personal data of children. If a business chooses to store a minor's data, it must ensure it has the consent required by law.

We aim to acknowledge grievances within a reasonable time and resolve them promptly, in line with applicable law.
13. Changes to this policy
We may update this policy. If a change is material, we will give reasonable notice (for example in-app or by email) before it takes effect. The 'last updated' date above always shows the current version.
14. Governing law and contact
This policy is governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the competent courts at Umaria district, Madhya Pradesh, India.
